From one interview to a front desk that never misses
You don't install anything and there's no dashboard to learn. We interview you, build your shop's agent from your answers, test it hard, and turn it on in stages — after-hours first, so you can listen before it ever takes a daytime call.
-
The interview — about 45 minutes
We cover how your phones work today, the questions your callers actually ask, your hours, fees, and policies, who should get a warm handoff and when, and where your live information lives — your store, your catalog, your order system. You also fill in a short fact sheet beforehand (about 15 minutes), so the call itself stays tight.
-
Your knowledge base — written by us, approved by you
Your answers become your shop's knowledge base and call rules: what the agent may answer, what it must never guess at, and when it hands off. You read and approve the whole thing before anything goes live — and you keep a copy. It's your system, in plain words, not a black box.
-
Your live inventory gets connected
This is the part generic answering services can't do. The agent checks your actual stock mid-call, so "do you have it?" gets a real answer — and what's sitting on your shelf is described differently from what can be ordered in, because callers deserve to hear the difference.
-
The test battery — before any real caller
We run dozens of scripted test calls against your agent: stock questions (in stock, orderable, out of stock, ambiguous), policy questions, upset callers, "let me talk to a human," and the trap questions. The pass bar is simple: zero invented facts, zero cold transfers, every unanswered question captured completely. Then you make five test calls of your own.
-
Staged go-live — about ten days from the interview
Stage one: after-hours and missed calls only. Stage two: overflow, when your line rings unanswered. Stage three, after a clean stretch: first answer. At every stage you keep your own published number — it simply forwards to the agent when you can't pick up.
-
We run it, and report every month
We read transcripts, tune the answers, and fix problems at the template level so the same mistake doesn't happen twice. Your monthly report shows calls handled, questions answered, messages captured, callbacks promised and kept, and your cost per call. During your first month, we scan transcripts daily.
The warm handoff, exactly as it happens
A "transfer" at most services means your caller gets dumped into a ringing line or a voicemail box. Ours works like a good employee handing you a call at the counter:
1. You're briefed privately
The agent tells the caller what's happening, then speaks to you alone first: who's calling, what they need, what's already been checked or said, and how urgent it is.
2. You're introduced
If you take the call, the agent introduces both of you by name and topic, confirms you're connected, and steps out. No "who is this, what is this about?" from either side.
3. If you can't take it
The agent comes back to the caller itself with a confirmed callback number and a promised callback window — and the handoff note lands with you immediately, so the promise gets kept.
